1. Information you provide
Depending on how you use Proofweld, we may receive:
- Contact and qualification information, such as your name, work email, company, phone number, role, company size, quality process, workflow needs, plan interest, and message.
- Account information, such as your name, email address, authentication records, role, and session details needed to operate a workspace.
- Workspace content, including quality-case descriptions, measurements, attachments, assignments, and review history that your organization chooses to enter.
- Messages or other information you send when you contact Proofweld about the service.
2. Billing and hosted checkout
Paid plans use a hosted checkout provided by our payment processor. Proofweld receives billing and subscription state such as the account, selected plan, checkout reference, amount, status, and relevant period timestamps. Payment-card details are handled by the payment processor rather than entered into Proofweld’s own application forms.
We use this information to start a plan, confirm payment state, provide workspace access, answer billing questions, and detect or resolve billing errors.
3. AI-assisted workflow inputs and outputs
When an authorized workspace user asks QualityCopilot to help with a quality case, the relevant case narrative, measurements, and available attachments are sent through the Proofweld AI workflow to generate draft problem statements, missing information, or investigation and containment suggestions.
These outputs are returned as draft assistance and may be transient rather than saved as a final case finding. Do not submit information unless your organization has authorized its use in this workflow and the information is appropriate for the service.
We do not make a blanket promise in this notice that AI workflow inputs are excluded from every provider’s training or retention practices. Review your organization’s requirements and any applicable agreement before submitting confidential, regulated, or safety-critical information.
4. Cookies and analytics
The public site uses session and authentication technologies when you sign in. It also includes Meta Pixel page-view measurement and may include platform analytics when that deployment is enabled. These tools may use cookies or similar technologies to measure visits, understand campaigns, and improve the site.
Browser settings and available platform controls may let you limit cookies or related technologies, but disabling them can affect sign-in, checkout, or measurement features.
5. How we use information
- Provide, secure, maintain, and improve Proofweld and its workflows.
- Create and support accounts, sessions, plans, and customer requests.
- Process hosted checkout, confirm billing state, and respond to billing questions.
- Send service, request-confirmation, and business follow-up messages.
- Measure site activity, diagnose issues, prevent abuse, and comply with law.
6. Sharing and service providers
We share information only as needed to operate the service, including with providers for hosting and databases, authentication and sessions, email delivery, hosted payments, analytics, and AI processing. We may also disclose information when required by law, to protect rights and safety, or as part of a business transfer.
Provider terms and processing locations can vary by service and deployment.
7. Retention and security
We retain information for as long as needed to provide the service, maintain account and billing records, respond to requests, resolve disputes, enforce agreements, and meet legal or operational obligations. Retention periods can differ by information type and are not promised to be automatic or immediate deletion.
We use reasonable technical and organizational measures for the service, but no online system can guarantee absolute security. Protect credentials, use workspace permissions carefully, and notify us promptly about suspected unauthorized access.
8. Your choices and rights
Depending on your location and the context of processing, you may have rights to request access, correction, deletion, restriction, portability, or an explanation of certain processing. You may also opt out of non-essential marketing messages where offered.
Send a request to proofweld-3@polsia.io with enough detail for us to locate the relevant information. We may need to verify the request and may keep information where retention is required or a legitimate exception applies.
9. Changes to this notice
We may update this notice when the service or its information practices change. The effective date above shows when this version was last updated. Material changes will be highlighted through a reasonable notice method where appropriate.
